Policy Statement 

Camp Ta-Kum-Ta (Camp) is committed to safeguarding the privacy of its campers, families, volunteers and staff.  All Protected Data (PD) as defined below will be collected, accessed, used, disclosed and/or stored by Camp following this policyCamp is also committed to following the numerous laws that it is subject to which govern the collection, access, use, disclosure and protection of PD. Compliance with these laws, regulations and corresponding Camp Policies and Operating Procedures is required.  

Personal Data Collection 

Camp Ta-Kum-Ta will collect the minimum amount of PD that is necessary to conduct Camp business. If the PD is not necessary to satisfy a camp-related purpose, it must not be maintained or collected. 

Prior to collecting PD, the need must be assessed to determine the minimum amount of PD necessary to satisfy the purpose. PD can only be collected by lawful and fair means and members of the Camp community authorized to collect PD must be transparent regarding the planned and anticipated uses of PD. Where appropriate, Data Subjects must be advised the reasons for collection no later than the time of data collection and under certain conditions, consent must be obtained from the Data Subject prior to the collection and/or use of the PD.  Data subject specifics include:   

  • Family and Camper Applications – Camp Ta-Kum-Ta is dedicated to protecting the privacy of our families and campers. Information gathered through our application process is for Camp Ta-Kum-Ta’s internal registration, volunteer hiring and medical review practices only (CampBrain and CampDoc). Content and information gathered will not be shared with any third parties other than emergency services (e.g. EMTs), University of Vermont Medical Center and affiliates unless permission is granted. 
    • Contact information to include physical addresses, email addresses and phone numbers provided through this process will only be used for Camp Ta-Kum-Ta related communications. Your contact information will remain private and will not be shared with outside third parties or solicitors without prior written consent. 
  • Donor Privacy – Camp Ta-Kum-Ta is committed to respecting the privacy of our donors. We have developed this privacy policy to ensure our donor information is protected and will not be shared with any third party. All information concerning donors or prospective donors, including their physical addresses, email addresses and phone numbers, the names of their beneficiaries, giving information etc., shall be kept strictly confidential by our staff, and volunteers, unless permission is obtained from donors to release such information. It is our policy to never share or sell the names, physical addresses, email addresses and phone numbers of our donors.          

                 The types of donor information that Camp Ta-Kum-Ta collects and maintains includes: 

      • Contact information: name, physical addresses, email addresses and phone numbers 
      • Giving information 
      • Information on events attended, publications received, and special information requests 
      • Information provided by the donor in the form of comments and suggestions 
      • Camp Ta-Kum-Ta uses donors’ information to understand our donors’ interests in Camp’s mission and to provide updates on the organization’s plans and activities. It is shared internally only on a “need-to-know” basis. 
    • When a donor makes a contribution to Camp Ta-Kum-Ta using a credit/debit card, the credit/debit card information provided by the donor is stored in a confidential manner.  Camp employees may access such information only when there is an appropriate reason to do so, such as when a refund must be issued back to the credit card. Camp maintains safeguards to protect donor credit card information, and our employees are required to follow these privacy standards.  
    • It is our desire to not send unwanted mail to our donors, and we can be contacted to remove donors from our mailing list. We do publish an Annual Yearbook with donor listings under giving categories. If a donor wishes to remain anonymous, they must notify us upon receipt of donation. 
  • Staff and Volunteer Applications – Camp Ta-Kum-Ta is dedicated to protecting the privacy of our staff and volunteers. Information gathered through our application process is for Camp Ta-Kum-Ta’s internal registration, volunteer hiring and medical review practices only (CampBrain and CampDoc). Social Media 

Camp Ta-Kum-Ta uses several social media platforms to engage our community.  To protect the PD  used, all images posted on these platforms may only be shared through the identifiable share options provided by the platform.  Copy and pasting images is not allowed without explicit written permission by Camp. 

Camp Ta-Kum-Ta volunteers may not suggest, initiate or participate in any private contact through social media with a camper outside of Camp’s programs or sanctioned activities without first obtaining written parental/legal guardian permission/consent as described in our Camper Contact Operating Procedure. 

 

Virtual Programming 

Camp uses several virtual platforms for programs and business operations.  Each platform is thoroughly vetted, registered as an organization within the United States and monitored for privacy related issues. We appropriately engage all safety precautions to include but not limited to: invitation only participation, password protected sessions, a minimum of 2 facilitators and conduct guidelines to reduce cyber bullying and/or harassment.

 

Website Privacy 

Camp Ta-Kum-Ta does not collect personally identifying information about you when you visit our website, unless you choose to provide such information to us. Providing such information is strictly voluntary. 

  • Sending Us an Email – You may decide to send us personally identifying information, for example, in an electronic mail message containing a question or comment, or by filling out a Web form that provides us this information. We use personally identifying information from e-mail primarily to respond to your requests. We may forward your e-mail to other employees who are better able to answer your questions. We may also use your e-mail to contact you in the future about our programs that may be of interest.  If you sign up for one of our e-mail lists, we will only send you the kinds of information you have requested. We won’t share your name or e-mail address with any outside parties unless required by law. 
  • Use of Links – Throughout our website, we provide links to other servers which may contain information of interest to our visitors. We take no responsibility for, and exercise no control over, the organizations, views, or accuracy of the information contained on other servers. Creating a link from your website to our site does not require permission. If you have a web-link you’d like us to consider adding to our website, please contact us. 
  • Use of Text and Images – If you would like to publish information that you find on our website, please send your request via email to the executive director. Where text or images are posted on our site with the permission of the original copyright holder, a copyright statement will appear at the bottom of the page. 

 

Breach Notification 

Camp Ta-Kum-Ta may have breach notification responsibility depending on the type of data that has been breached and the regulations impacting that data.  Suspected breaches will be reported in accordance with Camp’s Data Breach Notification Policy.
